Employee lifecycle

Produce offer letters and contract paperwork and manage the on-boarding process for new employees
Set up and maintain personnel files for all staff and check all incoming paperwork to ensure legal compliance, reference checks and eligibility to work
Ensure background checks are carried out as required
Prepare induction materials for new employees
Run a weekly new starter induction
Organise a quarterly agency new starter induction
Work with line managers to monitor and confirm probation periods, escalating any issues to the Head of HR
Conduct exit interviews with all leavers and report on themes and trends
Ensure leavers are removed from the all appropriate systems and files archived appropriately
General

Be the first point of contact in HR answering a variety of queries
Support the company’s wellbeing offering MFit by organising events, writing and designing communications and promoting the programme to employees
Support agency training initiatives as required, ensuring logistics and communications are managed seamlessly
Maintain and update all HR systems ensuring data is accurate at all times
Produce ad-hoc HR documentation as appropriate (references, contract change letters)
Administer staff benefits in line with Company policies and procedures
Maintain our holiday booking system TeamSeer, ensure reporting is generated regularly and that absence is tracked and monitored.
Help to produce HR statistics and reports on a monthly basis within agreed timescales.
Collate payroll information in line with monthly deadlines and coordinate payroll actions with Finance.
Recruitment Support

Post job advertisements on LinkedIn and on our website and work with managers to screen applications
Produce freelance contracts and add them to our database
Requirements and prospects
Desired skills
Administrative experience is essential
HR work experience is desirable
An ability to use Excel, Word and PowerPoint to a good standard is essential.

An ability to maintain confidentiality and act with discretion at all times
Enthusiastic, proactive and can-do attitude
Conscientious and self-motivated
Strong organisational skills and the ability to manage a range of day to day operational tasks
Excellent attention to detail
Desired qualifications
A-level qualifications should have been achieved at grade C or equivalent or above
As this is an Apprenticeship role, a degree is not necessary however we will consider graduates wishing to get into HR if they’ve not already studied in this area
Future prospects
Ongoing employment at this or another agency or progress onto a higher level qualification.
