Employer description: 

Eversholt Rail owns UK passenger and freight rolling stock. 

We have over 20 years of experience in the rail industry. We currently lease trains to 12 train operators and 2 freight operators within the UK. 

Moreover, we procure and finance new rolling stock and have invested more than £3 billion in new trains since privatisation. We are also committed to maintaining the quality and reliability of our existing assets. We continuously invest in our fleets through heavy maintenance and major enhancement programmes to deliver a better passenger experience and minimise through-life costs. 

Brief overview / purpose: 

To provide a professional an efficient service to both internal and external customers in reception and assist the business in providing administration support. 

Main responsibilities: 

  • Man reception at all time – phone and door buzzer must be taken and phone forwarded to a member of the team at all times if receptionist is required to leave reception.
  • Check diary for expected external guests.
  • Meet and greet guests and ensure they are dealt with professionally and promptly.
  • Handle telephone calls and forward messages.
  • Manage meeting room bookings.
  • Book taxis and couriers.
  • Distribute incoming post, newspaper/magazine distribution and manage outgoing post for the business.
  • Prepare weekly team movement’s sheet.
  • Order lunches for meetings and finances logged in invoice log.
  • Manage stationery supplies for the business and ensure standard stock is always available.
  • Ensure meeting rooms are kept tidy and equipment is always available e.g. projectors, conference phones, catering supplies by carrying out daily checks. These checks must be carried out AM, throughout the day and PM. Any rooms not checked must be made a note of and done the following working day.
  • Upon request, manage all catering bookings and ensure tea and coffee is available at meetings.
  • Carry out regular checks to ensure meeting rooms have catering provisions e.g. tea bags, teaspoons, coffee beans, cups, water dispenser etc.
  • Manage all catering supplies to ensure stock is always available and order supplies for staff kitchen.
  • Ensure supply of crockery, cutlery and catering supplies for staff kitchen and rest room.
  • Ensure the catering kitchen is kept clean, tidy and safe at all times.
  • Manage the tuck shop to ensure supplies are available, finances logged and debt collection is carried out.
  • Manage Corporate Merchandise log and hand out to new starters.
  • Ensure stocks available in both staff kitchens and kept clean and tidy at all times.
  • Ensure all new starters are issued a security pass.
  • Check all notice boards around the office and ensure all information is up to date e.g current fire Marshalls, first aiders, etc.
  • Manage cupboards and lockers log and assign to staff upon request.
  • Archive files upon request.
  • Provide admin support to other parts of the business as and when required.

Desired qualifications:

3 x GCSE (or equivalent) at grades A-C in any subject, plus GCSE English and Maths (or equivalents) at grade C or above.

To be eligible for a Government funded apprenticeship you must have lived in the UK or European Economic Area (EEA) for the last 3 consecutive years.
