Overview

Support a Block Management team of Property Managers, in a busy office

Duties

  • Collaborate and partner with the MIH Management Team to uphold the “Make It Happen” ethos delivering upon MIH’s shared Mission, Vision and Values.
  • Supporting Property Managers & Senior Property Managers by carrying out their administrative tasks, and attending Site Visits (training given), assisting with reactive maintenance, and compliance with Health & Safety requirements.
  • Liaising with Leaseholders/owners, contractors & suppliers by phone and email
  • Answering phones, assessing urgency, passing on messages where applicable or dealing with issues as and when they arise.
  • Monitoring general Info & Admin mailboxes, assessing urgency, passing on or responding to emails where applicable.
  • Creating Mail Merges and Works Orders using MRI Qube (our company software) as instructed by Property Managers, ensuring timeliness, completeness and accuracy.
  • Preparing and distributing meeting agendas and minutes with action points.
  • Tracking tasks and seeing them through to completion.
  • Ensuring Templates are up to date and filed in the correct destination folders.
  • Booking online and in person meetings for staff and clients.
  • Chasing up quotations and contractors, updating the Property Managers with the latest information and emailing clients with updates where necessary.
  • Deputising for Office Assistant when required with Office administration tasks.
  • Prioritising tasks in order of urgency.
  • Support the co-ordination and running of team events.
  • Ad hoc tasks to support the Management team as required.

Working 35 hours per week - Monday to Friday 9am to 5pm with an hour for lunch

GCSE Maths and English at grade 4 or above or equivalent

This role will give you a broad awareness of all that is involved in managing the common parts of many and varied buildings and developments. You will receive on the job training as well as training from internal and external parties in the world of Property Management (eg The Property Institute).

Over time you will gain the knowledge and skills to progress your career, with plenty of opportunity for promotion and career development within the company.

NB This is not Sales or lettings –it is Block management and you should ensure you understand what the industry is about before applying.

Training and support will be provided by our specialist Apprenticeship training provider; Smart Training & Recruitment.

In order to meet the eligibility criteria for an Apprenticeship in England, you must be able to demonstrate at least three years UK residency, or hold a valid visa that meets the exceptions to this rule.

Please note, as part of the Initial Assessment process, all qualifications will be verified by the Learning Records Service (LRS) via Department for Education

We manage a varied and impressive portfolio of buildings for our Clients, ranging from 4 to circa 150 units, with a 6-figure turnover.
